Why Do Our Excel Reports Never Show the Same Numbers?

    By Helion Cloud Team

The problem is often not Excel, but multiple versions, conflicting definitions and the absence of a shared source.

A meeting starts and three managers present three different revenue figures. Every spreadsheet is internally correct, but they use different extracts, dates and definitions. The result wastes time and undermines trust in data.

    01

    The real problem: several truths

Data is copied from ERP, edited manually, emailed and enriched in multiple files. Each copy becomes independent. Add different definitions (signed order, issued invoice or received payment) and two calculations can be technically correct while answering different questions.
    02

    Define metrics before tools

Bring finance, sales and leadership together to define each metric: formula, source, frequency, owner and exclusions. A data dictionary exposes disagreements instead of hiding them inside formulas.
    03

    Create a shared source

Connect Power BI or Excel to governed sources rather than emailed files. A central semantic model can hold shared measures and access rights. Users retain Excel flexibility while starting from the same data and rules.
    04

    Migrate progressively

Do not rebuild every report. Start with the most disputed or time-consuming one, automate its feed, validate figures with the business, document metrics and retire old versions. That first success creates the method for the rest.

    Summary

Reliable numbers come from shared definitions and governed sources, not prettier charts. Helion Cloud can audit current files, build the data model and train teams on Power BI while preserving useful Excel workflows.
