How to Share Files With Colleagues Without Sending Emails?

    By Helion Cloud Team

Sending email attachments is outdated. Here's how SharePoint and OneDrive let your team work on the same files, with no duplicates.

    Share

You send a Word file by email, your colleague edits it, you do too... and 3 days later you have 4 different versions. Here's how to end that.

    01

OneDrive vs SharePoint: which to use for what?

OneDrive = your personal cloud space. SharePoint = your team's shared space (contracts, procedures, shared documents). Rule: team file → SharePoint. Personal file you share occasionally → OneDrive.
    02

    Real-time co-editing: the real revolution

Multiple people can edit the same Word, Excel or PowerPoint file simultaneously. Each change appears in real time with each author's color. No more 'please don't edit while I'm working on it'. Included in all Microsoft 365 Business licenses.
    03

How to share a file without email (in practice)

    1) Right-click file → Share. 2) Enter recipient's email. 3) Choose 'Can edit' or 'Can view'. 4) Click Send. The recipient gets a link, not a copy. Everyone works on the same version. For external sharing: tick 'Specific people': they get a secure, expiring link.
    04

Migrating from a file server or network drive

Migration to SharePoint is free with Microsoft's SharePoint Migration Tool. 500 GB of files migrate overnight. Folder structure is preserved. Windows NTFS permissions convert automatically.

    Summary

SharePoint and OneDrive are included in your Microsoft 365 subscription. Helion Cloud runs OneDrive/SharePoint adoption workshops so your teams switch to collaborative mode in one day.
