Teams Phone: What Does It Cost to Replace Your Phone System?

Teams Phone licence, numbers, calling plans, auto attendants, headsets and rooms: what you pay each month when Microsoft Teams becomes the company phone.

Replacing a phone system with Microsoft Teams means moving from equipment you buy and maintain to a set of subscriptions. The calculation changes in nature: you are no longer writing off a PBX, you are adding up a licence, numbers, calls and a little hardware. Here is each line, with the official prices recorded on 26 October 2026.

The Teams Phone licence

Teams Phone Standard costs €8.70 excluding VAT per user per month with annual payment, according to Microsoft's Teams Phone page checked on 26 October 2026. It is not a standalone offer: it is added to a licence that includes Teams, such as Microsoft 365 Business Standard. Companies on Microsoft 365 E5 have nothing to add, as Teams Phone is already included. This price covers the phone function (assigned number, transfers, voicemail, auto attendant), not the calls themselves.

Numbers and calls: three ways to connect Teams to the network

To call outside numbers, Teams has to be connected to the phone network, and Microsoft provides three routes. The first is Microsoft Calling Plans: Microsoft becomes your operator. For the countries in its "zone 2", its page lists Teams Phone with pay-as-you-go calling at €11.30, with domestic calling (1,200 minutes) at €19.10 and with domestic and international calling at €29.50 excluding VAT per user per month, Teams Phone licence included. The price that applies to France is confirmed when you order. The second is Operator Connect: an operator certified by Microsoft supplies the numbers and the calls, and is activated from the Teams admin centre. The third is Direct Routing: you keep the operator of your choice, connected to Teams through certified equipment (an SBC) managed by you, your integrator or a service provider. With these last two options, calls are billed by the operator, at its own rates. In every case, you keep your current numbers: porting goes through the operator receiving them, and porting often sets the project timeline. We deploy Direct Routing with Dstny, a Microsoft Teams certified operator.

Auto attendants and call queues

Auto attendants ("press 1 for sales") and call queues do not require a per-user licence. They rely on resource accounts, which receive a dedicated licence that Microsoft provides free of charge, Teams Phone Resource Account. You do, however, need a number for each auto attendant that can be reached from outside, supplied by the Microsoft plan or by your operator. Greetings, opening hours and overflow rules are then configured in the Teams admin centre.

Hardware: headsets, desk phones and meeting rooms

Most users make calls from their computer or mobile with a headset, and that is often the only hardware to plan for. Teams-certified desk phones remain useful at reception, in workshops or in warehouses. For meeting rooms, Teams Rooms devices need their own licence: Teams Rooms Pro costs €34.70 excluding VAT per room per month, and Teams Rooms Basic is free for up to 25 rooms, with certified equipment required, according to Microsoft's Teams Rooms page. Hardware prices vary too much between models to summarise here: we price them with the rest of the project.

Running the numbers for your company

For a fair comparison, set the monthly cost of your current installation (PBX rental or maintenance, line subscriptions, calling plans, maintenance call-outs) against the sum of the lines above. For twenty users already on Business Standard, the Teams Phone Standard licence comes to 20 × €8.70, or €174 excluding VAT per month, before numbers and calls. The detailed comparison with traditional telephony is in our article on Teams Phone versus traditional telephony, and the technical steps are in our migration guide. For a quote based on your setup, see our Microsoft Teams telephony page.

Summary

The price of Teams Phone is more than its licence. Numbers, calls and hardware weigh just as much in the bill, and their cost depends mainly on the operator you choose. That is why an audit of your current installation remains the best starting point: it shows what you pay today, line by line.
